Overview

SpringVerify IN integrates with HiBob to streamline and automate background verification (BGV) within your HiBob environment. Once configured, employee details and shared documents are automatically synced from HiBob to SpringVerify. Candidates then receive a BGV invitation, complete the form, and — once verification is finished — the final report is pushed back to HiBob.

Section A: Create a Service User in HiBob

Step 1: Open System Settings

Log in to HiBob and open System Settings.

Step 2: Create a New Service User

Go to Integration Tools → Service Users. Click to create a new Service User.

Step 3: Name the Service User

Enter a name and description for the Service User, then click Create.

Step 4: Copy the Credentials

Copy the Service User ID and Token. You need both to connect HiBob to SpringVerify.

Section B: Connect HiBob with SpringVerify

Step 1: Enter the Credentials

Log in to the SpringVerify portal and paste the Service User ID and Token to connect HiBob.

You will see a success message once the connection is complete.

Section C: Set Permissions for the Service User

Step 1: Open Account Settings

Go to System Settings → Account.

Step 2: Create a Permission Group

Configure permissions by creating a new Permission Group for the Service User.

Step 3: Select the Service User Option

Choose Create Permission Group for Service User.

Step 4: Name and Assign the Group

Enter a name and description, select the Service User from the dropdown, and click Create.

Step 5: Choose the Required Permissions

Under Peoples Data, select and save the following permissions:

• View selected employees Basic Info section
• View selected employees Address section
• View selected employees BGV section
• Edit selected employees BGV section
• View selected employees Employment section
• View selected employees Home section
• View selected employees Personal section
• View selected employees Personal Contact Details section
• View selected employees Work section
• View selected employees Work Contact Details section
• View selected employees documents in the shared folder
• Upload selected employees docs in the folder
• Edit tags of selected employees docs in the folder

Step 6: (Optional) Restrict Access by Employee Status

If permissions should also apply to Hired and Employed candidates:

• Under Select People by Condition, click Edit.
• Select Employed and Hired, then click Apply.

Section D: Add the SpringVerify Package Field in HiBob

Step 1: Open Data Management

Go to System Settings → Data Management.

Step 2: Open People Data Fields

Select Peoples Data Fields under Data Management.

Step 3: Create a New Category

Click Add Category to create a new section (e.g., SpringVerify or BGV) in the candidate form.

Step 4: Name the Category

Enter a name and description, then save it.

Step 5: Add a New Field

Under the new category, click New Field.

Step 6: Create the Package Field

Name the field SpringVerify Package, set the type to List, add a description, and click Add.

Step 7: Add the Package Values

Click Create List, add each package Subtype Name as shown below, then click Save.

Section E: Set Up the Webhook

Step 1: Open Webhooks

Go to System Settings → Integration Tools → Webhooks.

Step 2: Add a New Webhook

Click Add Webhook, enter a name, paste the Endpoint URL from the SpringVerify portal, and select the events Employee Created and Employee Updated.

Step 3: Complete the Setup in SpringVerify

Copy the secret key from HiBob and paste it into the SpringVerify portal. Select the package field created in Section D, then click Save.

Section F: Enable Report Push to HiBob

• If enabled, SpringVerify pushes the final report to the HiBob folder you selected, along with check statuses and overall BGV status.
• If disabled, none of this information is sent back to HiBob.

What Happens After Setup

Once configuration is complete:

1. Add the candidate in HiBob and upload their documents to the Shared Documents section, then select the SpringVerify Package from the BGV section.
2. SpringVerify fetches the candidate details, and AI parses the uploaded documents to pre-fill the BGV form.
3. The candidate receives an invite link to review the pre-filled details and submit the form.
4. Once submitted, verification begins on the SpringVerify side.
5. When verification is complete, the final report is pushed back to the HiBob folder (if Report Push is enabled in Section F).
